Supervisors
Supervisors are used when orders of employees from the same company have to be authorized by a superior. You can create multiple supervisors per company and assign supervised employees.
Supervisors get a notification when an assigned employee places an order in the webshop. The supervisor can accept, take over or decline the order from their own account in the webshop.
The following things have to be configured for this to work:
- Supervisor user and supervised users
- Criteria for authorization (user roles/catalogs)
Creating a Supervisor and Assign Supervised Users
- In the CloudSuite App, go to Customers > Users eCommerce > Users and open the user account.
- Go to the Roles tab and check the box Supervisor.
- Enter the user details as described for a supervisor.
Criteria for Authorization
Different criteria can be used to decide when an order has to be authorized by the supervisor:
- By default: All orders require authorization.
- By budget: Authorization is required when a certain order amount is reached.
- By catalog: Authorization is required when products from a selected catalog are in the order.
By Default
This is configured in the user role of the supervised user.
- First, check which role the user has:
- In the CloudSuite App, go to Customers > Users eCommerce > Users and open the user.
- In the user details, go to the Roles tab and find the User Role of the user.
- Determine whether to change this role or to create a new one. Changing the role affects all users with that role.
- In the CloudSuite App, go to Customers > Users eCommerce > User Roles and open the appropriate role, or click New to create a new one.
- In the user role details, go to the tab Order Settings. (If you are creating a new user role, also enter all the other details as appropriate.)
- Make sure that the box behind Authorize Orders is not checked. All orders by users with this user role now have to be authorized by a supervisor.
- Click Save.
By Budget
You can set a budget limit for the supervised user, so that the order has to be authorized by the supervisor when the supervised user exceeds this limit. Follow the instructions in the linked article and make sure that the Flow is set to Order has to be authorised.
By Catalog
You can specify that the order has to be authorized when a supervised user orders any of the products from one or more specific catalogs. This is configured for the supervised user.
- In the CloudSuite App, go to Customers > Users eCommerce > Users and open the supervised user.
- In the user details, go to the tab Catalogs.
- Edit the list of Supervised Catalogs so that those catalogs are listed for which the user needs authorization by a supervisor. For each, you can specify that products from the supervised catalog are always visible and searchable on the shop, or that the catalog has to be selected manually in the webshop by the supervised user if they want to order a product from it.
