User Roles
User roles allow you to define the behavior of your shops for a group of eCommerce users with the same characteristics.
To work with user roles, in the CloudSuite App go to Customers > Users eCommerce > User Roles. An overview appears, listing all roles that have already been defined. Double-click an existing role to open its details or click New to create a new one.
Display Settings
In this tab, you specify which information is shown to users with this role.
- The check boxes Display upselling Products, Display up cross selling products, and Display related Products determine if the Product Detail Page will show the corresponding information to users with this role.
- When Display Prices is not checked, users with this role do not see any prices. All the prices are calculated and stored in the basket in the background. This setting works system-wide.
- The highlight price agreements check box is used by CloudSuite to differentiate between types of prices (such as action, contract and so on) in the front-end of your shop.
- Next to Display Stock Values, choose how stock will be shown to the users with this role.
- Choose Attribute to show no stock quantities, but rather a configurable text such as enough, low or no stock.
- Choose No to not show any stock information.
- Choose Quantity to show stock quantities.
- Choose Quantity and detail to show stock quantities, plus additional information such as the stock at individual warehouses and future stock.
- Next to Display Future Stock Values, choose how future stock will be shown to the users with this role.
- Choose No to not show any future stock information.
- Choose Yes to always show future stock information.
- Choose Yes, but only when out of stock to show future stock information only when a product is currently out of stock.
Order Settings
In this tab, you may set boundaries to the ordering abilities of users with this role.
- If Create Orders is checked, users with this role can order. Uncheck the box to allow users with this role only to browse through the catalogs.
- If Authorize orders is checked, users with this role can place and confirm orders. Uncheck this box in a role that requires users to be supervised. Users with this role need to be linked to one or more supervisors: this is done in the Roles tab of the eCommerce user who is the supervisor..
- If Display Orders of other Users is checked, users with this role can see the orders placed by other users linked to the same party.
- If Show Invoices is checked, users with this role can see invoices in My Account.
- You may specify a Minimum order value below which users with this role cannot place orders. The value is excluding VAT, unless prices in your shop are shown including VAT.
- If Edit Invoice Address, Edit Delivery Address, and/or Add Delivery Address is checked, users with this role can change the corresponding addresses in the webshop. Do not check these boxes when your ERP system is responsible for maintaining the addresses.
- If Select Delivery Address is checked, users with this role can select a delivery address other than the default when creating an order.
- If Change Delivery Date is checked, users with this role can change the calculated delivery date of the basket.
- The field Inquiry Orders has no effect.
- If RMA Requests allowed is checked, users with this role can submit return requests. This field is available only when the RMA Module is active.
- You choice next to History in Order Templates determines if the order history per product is available in the order templates to users with this role.
- Choose No history to not make the history available
- Choose Per user to make the history available to users with this role, but show only the orders of the logged-in user and selected party.
- Choose Per party to make the history available to users with this role, and show the orders of all users linked to the selected party.
- Next to Quotations, choose the degree of interaction with the Quotations Module (provided this is active) allowed for users with this role.
- Choose No to not allow the users to request quotations.
- Choose Yes to allow the users to request quotations.
- Choose Yes and display all quotations to allow users to request quotations, and also to see quotations of other users linked to the selected party.
- Choose Yes and process all quotations to allow users to request quotations, to see quotations of others users linked to the selected party, and also to process quotations of other users linked to the selected party.
- In general, any users can create order templates. If next to Order Template options you choose Create Customer editable templates, users with this role can also create customer-editable templates, which are available for all users linked to the selected party.
- If Allow user to change his/her email address is checked, users with this role can change their registered email address in the webshop. For security reasons, this choice is not recommended.
