eCommerce Users

To work with eCommerce users (also known as webshop users), in the CloudSuite App go to Customers > Users eCommerce > Users. An overview appears, listing all eCommerce users that have already been defined. Double-click an existing user to open its details or click New to create a new one.

Throughout CloudSuite, the terms eCommerce user and webshop user are used interchangeably.

  • Enter the Email address of the user. The email address must be unique within the shop.
  • Select the Shop to which the user belongs.
  • The user is Active only when the corresponding box is checked. This is the default when creating a new user.
  • If Guest is checked, the user is a shop customer who does not want to register. Guest users cannot log in and if they create a new order, they will have to enter their details again. Their details are stored because the system needs them for delivery of the goods.
  • The box Email Confirmed allows you to keep track of the confirmation status of the user's email address.

Personal Information

  • The selected shop may allow for a Login Code to be used as the user's login identification. If you leave this field blank, the user is identified by the email address.
  • The Email is always the same as the one specified in the general section of the screen, above the tabs. If you change it in one place, the other is automatically updated.
  • The Original Email is the email address that was provided during the initial registration. It cannot be changed later.
  • The Password is used by the user to log in, together with either the email address or (if the shop allows for it and the corresponding field has been filled) the login code.
  • If Password Expired is checked, the user will be prompted to change the password after the next login.
  • A Coupon Code can be used as the authentication identifier in coupon shops.
  • First Name, Middle Name (if any) and Last Name determine the way the user is addressed.
  • If Informal Salutation is checked, the user's first name will be used in salutations.
  • The Title will be used in salutations (Mrs., Mr., Dr. etc.).
  • The Gender is optional and used for internal reference only.
  • The Date of Birth, if known, can be used for special promotions.
  • If Receive Newsletter is checked, the user can be placed on the mailing list for a newsletter.
  • The Telephone Number and Mobile Number provide additional ways to reach the user.

Roles

  • Select the User Role of the user.
  • Optionally, select a Budget for the user.
  • If Supervisor is checked, the user acts as supervisor for other eCommerce users. Two more fields appear:
    • Specify if the supervising user Can take over baskets to be supervised.
    • Optionally, choose a Supervisor Alternative who overrules the original supervisor and can step in if the original supervisor is not available.
  • Next to Users supervised by, manage the list of non-authorized users who are supervised. Only users from the same party or party group as the supervisor can be selected. When the user is not a supervisor, this field is named Supervisors and can be used to select a supervisor for the user.
  • If OCI User is checked, the user is marked for OCI PunchOut from a purchasing system. (OCI PunchOut is a standard developed by SAP that allows for login to a webshop from an ERP or purchasing system.)

Catalogs

In this tab, various types of catalog can be linked to the user.

  • If Toggle industry catalogs is checked, only catalogs of type industry are allowed for the user.
  • The list of standard Catalogs has precedence over the shop's and party's default catalogs. Note that the user can also be linked to a catalog in the catalog details.
  • The list of Allowed Catalogs extends the catalogs that the user can access. Allowed catalogs must be explicitly selected by the user.
  • The list of Supervised Catalogs contains catalogs for which the user needs authorization from a supervisor.
    • Select the Catalog with the products that require authorization.
    • Select one of the following options for Type:
      • Products are always visible means that products from the supervised catalog are always visible and searchable on the shop. Normal products and supervised products can be in one order and the whole order must be confirmed by the supervisor.
      • Catalog has to be selected means that the catalog has to be selected manually in the webshop by the supervised user if they want to order a product from this catalog. Only the supervised products are then visible, and an order can only contain products from this catalog.
