Budgets
You can specify the maximum amount for which a particular user or party group can order, and set rules determining what happens if the budget is exceeded. You can create a budget per order and/or per period. You can set up different budgets for different users or party groups.
It is possible that more settings need to be activated to make the budget functionality work for you. If this functionality does not immediately work on the shop after you have set it up, please contact your consultant or Customer Support.
To work with budgets, in the CloudSuite App go to Customers > Budgets > Budgets. An overview appears, listing all budgets that have already been defined. Double-click an existing budget to open its details or click New to create a new one.
- If you select a Party Group, you can link the budget (see below) only to customers that are part of this group.
- The Name of the budget will be visible to shop visitors, and can be translated.
- Enter the Maximum Order Amount for which the user may order in one go. When the user places an order that exceeds this amount, the selected Flow becomes active (see below). Enter 0 if there is no maximum amount per order.
- Enter the Maximum Amount Budget by which the user may order over a given time period. When the user places an order that will exceed this amount during the specified period, the selected Flow becomes active (see below). Enter 0 if there is no maximum amount per time period.
- A Period selection field becomes visible after you have entered a value higher than 0 in the Maximum Amount Budget field and move away from it. It defines the period during which the budget holds. Choose one of the following:
- Month, Quarter or Year; starting immediately
- No period, one-off to have the budget hold indefinitely
- Configurable Year to have the budget hold for one year, starting on the first day of the Start Month that you select in the field that appears
- A Flow field becomes visible after you have entered a value higher than 0 in either of the Maximum Amount fields and move away from that field. Choose one of the following:
- Order will be blocked: the user cannot complete the order. If the user tries to do so, they will be set back to the basket with a notification.
- Just a warning: the user can simply complete the order, but will receive a message stating that the budget has been exceeded.
- Order has to be authorised: the user can complete the order, but it must be approved by a supervisor associated with this user.
- Check Shared Budget to share the budget between more than one user. When one of the users exceeds the budget, the chosen Flow action applies to all of them.
- Under Webshop Users, select the eCommerce users to whom the budget applies.
