Order Management as a Merchant

Order management manages the lifecycle of your order processes. It includes the whole process of your sales, quotations, returns, and related integrations with ERP customers (including OCI punch-in and punch-out).

Our order management system can process all orders from different sources such as the webshop, but also orders from other sources. This includes related shipments with track-and-trace and backorder information, fully supported by our order API.

The CloudSuite API supports two types of order message for synchronization of orders with other systems:

  1. cXML Order message (cxml.org) (push and pull)
  2. JSON order interface (push and pull)

Both methods support a default set of data, but additionally also specific order data for fulfillment. By including this extensive set of information you have the perfect base for further automation of processes in line with your business strategy, decreasing the number of manual operations done by your back-office teams.

Managing Orders for Your Omnichannel Business Strategy

When you choose to implement an omnichannel business strategy, order management can get complicated. The CloudSuite platform allows you to manage all orders from various online and offline channels within the same environment, including drop-shipment and the option to order products that are not in store (long-tail assortment). It offers a complete overview of the stock and availability of all warehouses and in real-time — no need to switch between shops.

Managing Orders from External Systems

Use the order API to receive orders from either your ERP system or as direct orders from your other webshops or customers.

Customers can send their purchase orders directly to your system; our dealer shop solution is an example. Of course, all methods between systems are secured by an extensive authorization system.

Managing Orders per Company (Multi-company)

Multi-company is used for having your own administrations within CloudSuite. Customers, Addresses, Prices, and Orders are managed per company.

The advantage of having a multi-company structure is that support desks and internal sales teams can be assigned to their own company to manage only the relevant orders without access to other company data.

Managing Orders Using the Sales Center Module

The Sales Center Module offers a powerful tool for your sales department to quickly enter and manage orders for your customers outside the webshop. In addition, you can create a new webshop user for your known customers and create an order.

One of the key features is the possibility for your internal sales team to enter orders and still make full use of the shop configuration, rich product content (PIM), and price information.

This includes search options and order conditions such as cost rules, checkout options, and delivery schedules, reducing mistakes and returns.

Managing Returns

The Return Merchandise Authorization (RMA) system is a module for managing product returns through your webshop.

Trying to manage returns manually on a case-by-case basis is nearly impossible without a formalized process to simplify management, which is what an RMA system does. The CloudSuite RMA module collaborates with your ERP system.

With the RMA module, merchants have the perfect tool to manage returns and ensure that the communication between all related systems, including the interaction with your customer, is efficient and time-saving from start to end.

Managing Orders from Dealer Shops

For multi-shop environments, we have set up a Dealer Order model in which one shop (dealer) can export sales orders from its end-users as (draft) purchase orders to another shop (wholesaler).

If you are a wholesaler with a dealer network, you can fully automate the workflow from end-user via dealer shop to wholesales shop.

  • Time-saving ensures orders are sent directly to the wholesaler (supplier).
  • The same cXML format for sales and purchase orders limits the risk of errors.
  • Timely delivery to the end-user without the need for products being in stock at the dealer.
  • Orders can be sent directly to the shopper as drop-shipment.
